Where formbase fits better
Editor and AI
Google’s “Help me create” generates a draft from a prompt, but it sits behind a separate eligibility step: a paid Workspace (Gemini is now bundled into every Business tier, Business Starter $7/user/mo and up), a Google AI Pro / Ultra subscription, or opting into the free Workspace Experiments beta. formbase ships AI chat on every plan with no eligibility gate — generate, refine, translate, and analyze forms with no extra step. You also get an MCP server for AI tools like Claude and Cursor, and those MCP actions are direct API operations that don’t consume your AI credits. Google Forms has no MCP.
Multilingual
Google Forms has no native multilingual support — the workaround is one Form per language, reconciled by hand. formbase has a side-by-side translator with AI translate and outdated-row tracking covering question content, options, and notification emails; respondents pick a language at fill time.
Logic and calculations
Google Forms branches at section boundaries only, on Multiple Choice or Dropdown answers, with no AND, no OR, and no field-level show / hide. formbase has page + field show / hide, AND / OR rules, and answer piping into later questions and the thank-you screen. Quiz scoring and price math run through the Calculated field, so anything Google’s quiz mode does is reproducible without being locked to specific question types.
Payments
Google Forms has no native payment field — every monetization use case routes through a Marketplace add-on like Payable Forms or PayQ, adding another vendor, billing relationship, and permissions surface. formbase ships Stripe Connect with multi-currency one-time charges built into the payment field. (Neither does recurring or subscription billing through the form field today — wire subscriptions up outside the form on either platform.)
Themes and dark mode
Google Forms theming is a header image, an accent color, a background color (the page around the form, not the form card), and per-element fonts — no dark mode, no per-form light/dark pair. formbase stores separate light and dark themes per form (preset library or built from scratch); respondents pick at fill time or follow system preference.
Analytics and abandoned-response recovery
Google Forms analytics center on what people picked — Summary, Question, and Individual views (and for AI-eligible users, Gemini can now pull quantitative insights from text responses). What’s still missing is the funnel: no drop-off tracking, no source attribution, and no partial responses to recover, and the views aren’t a live dashboard. formbase Pro shows a live-updating Viewed → Engaged → Completed completion funnel with traffic-source tracking and device breakdowns. Abandoned-response reminders email respondents and trigger your integrations after an adjustable delay.
Branding and custom domains
Google Forms keeps the forms.gle or docs.google.com URL on every tier, including paid Workspace, with no native way to drop the Google
footer. formbase Pro removes formbase branding, supports up to 5 custom domains per workspace, and exposes full theme control.
File upload
A file upload field on a Google Form forces every respondent to sign in with a Google account — no setting disables it, and uploads count against the owner’s Drive quota. formbase file uploads work for any respondent without an account, pooled against the workspace storage allowance.
Submission retention
“Delete after N days” and “delete on a fixed date” are in form settings on the Business plan. Google Forms exposes no retention controls — responses sit in the bound Sheet until cleaned up by hand.
Bot protection and data privacy
Every formbase form has Cloudflare Turnstile bot protection — always on for Free, configurable with bring-your-own keys on Pro and Business. Google Forms has no native CAPTCHA or spam filter today, so an open public form is exposed to bot submissions out of the box.
On the data side, formbase AI runs on AWS Bedrock: under the AWS Service Terms your form data is not used to train models and is not retained after the request. formbase is operated by Formbase AS, a Norwegian company under Norwegian and EU law, with a Data Processing Agreement that applies automatically the moment you collect personal data — useful context for respondent-data-heavy or EU teams weighing where form responses are processed.
Pricing and limits
Google Forms is free with any Google account — that part is real. The catch: AI in Forms needs a paid Workspace seat (Gemini is bundled from Business Starter at $7+/user/mo annual, up through Business Plus) or a Google AI subscription ($19.99/mo for Google AI Pro), Google branding stays on every URL even on paid Workspace, and a bound Sheet caps at 10 M cells. If your team needs Gemini in Forms, every member needs a paid Workspace seat ($7–$22/user/mo) or a Google AI subscription — that scales per head. formbase Pro covers a whole workspace, billed at one flat price no matter how many people you invite — AI credits, 50,000 submissions / mo, custom domains, branding removal, abandoned recovery, analytics, and unlimited members all included. Where Google Forms fits better
Google Forms has genuine strengths. Weigh these if any is a must-have for your team:
$0 forever inside Google Workspace. Any Workspace user can ship unlimited forms at no incremental cost. For internal-only forms with a Workspace audience, “use what’s already there” wins.
Native Sheets / Drive / Classroom binding. One click writes responses to a Sheet that other Google tools query natively. formbase has a Google Sheets integration that syncs responses, but it doesn’t match the depth of the full Workspace ecosystem.
Education mode (Quizzes). Auto-grading, point values per answer, feedback per option, and a release-grades workflow — built for classroom assessments, not customer-facing surveys.
Zero learning curve. Every Gmail user knows Forms. For a one-off RSVP or department poll, onboarding is free.
Offline drafting in the Docs ecosystem. Basic forms can be drafted on a Chromebook in airplane mode and synced later — useful for field teams already on Google.
Trusted brand in education + government. Procurement and IT already approve Workspace; Forms inherits that trust without a separate vendor review.
